What Your Phone Assistant Does for Your Business

Your receptionist handles questions about your services, collects the details you need, and books appointments into Google Calendar. It answers as your business when calls forward to it.

  • Answer routine questionsShare your hours, service area, and approved price policy with callers.
  • Take useful messagesAsk about the request, location, urgency, and callback details.
  • Offer appointment bookingBook into Google Calendar or collect details for your callback.

Your assistant works from the business information you give us during onboarding and on your website. Tell it which services you offer, which jobs you decline, and how you explain pricing. A cleaning caller can ask whether you cover their neighborhood; a garage door caller can describe the work they need.

You decide whether a caller should book an appointment or leave details for you. Your receptionist can speak English or Spanish, with language changes during the conversation. It also gives the virtual assistant and recording notices at the start. Use the interactive business demo to hear how those parts fit into a call.

Which Calls It Handles and Which Calls Reach You

Your receptionist answers routine questions from your business information and takes messages. Calls that meet your urgency rules can go to your on-call person by warm transfer or page.

  • Routine requestsLet callers ask about services and leave details while you work.
  • Urgent handoffsYour on-call person hears a short summary before accepting the transfer.
  • Your contact orderSet who receives urgent calls and which person comes next.

Set the difference between a routine request and an urgent call in your onboarding chat. For a property maintenance business, a request about next week's visit might be a message; an active leak might need the on-call person. Your receptionist asks intake questions and applies the urgency rules you provide.

With a warm transfer, the person you name hears a brief summary and presses 1 to accept. You can choose a page instead and set the contact order. For gas smells, CO alarms, or flooding near electricity, the safety script tells callers to get everyone out and call 911 or the utility from outside, then alerts you. The assistant is not an emergency service.

Book Appointments and Keep Complete Call Messages

Your receptionist books appointments into Google Calendar or collects information for you to call back. Email and app push alerts bring you the summary, urgency tag, transcript, and recording.

  1. 1Calendar appointmentsUse Google Calendar for bookings made during your callers' conversations.
  2. 2Callback detailsGather the caller's request and contact information for your next conversation.
  3. 3Message recordsReview summaries, urgency tags, transcripts, and recordings in your dashboard.

Choose booking when an appointment is the right next step for your business. Choose message taking when you need to discuss the job before arranging a visit. A moving company, for example, may want pickup and destination details before calling someone back about an estimate.

Each call produces an email and app push notification, with a daily digest email for another view of your messages. The dashboard keeps call records together so you can check the transcript or recording before responding. You can enter the summary into the other software you use; direct connections to field-service or CRM software are not live. See the booking and message workflow before setting your preference.

Set Up Your Assistant and Forward Your Calls

Setup starts with email sign-in and an onboarding chat of 10 to 15 questions. Add your business details, choose your call forwarding, and make a test call before going live.

  • Teach your policiesDescribe services, hours, pricing rules, and what needs urgent attention.
  • Choose your coverageForward all calls or only busy, unanswered, or after-hours calls.
  • Test the greetingCall before launch and check your assistant's answers and handoffs.

We use your onboarding answers and the website you point us to as the basis for your receptionist's business knowledge. Include the work you do not take, your service boundaries, and who should receive urgent calls. Clear instructions give the assistant specific information to use when someone asks about a job.

You get a local number in your area code and a forwarding guide for your carrier or phone system. Keep your existing business number and select when it forwards. A test call lets you hear the greeting and check a realistic request. After setup, tell the AI in plain words when you want to change settings in your dashboard.

Tell Callers About AI and Control Recording Retention

Your receptionist announces that it is a virtual assistant and that the call is recorded. You choose a recording retention period of 30 or 90 days for your business.

  • Clear opening noticeCallers hear the virtual assistant and recording disclosures at the start.
  • Recording retention choiceSelect 30 or 90 days before your recordings are deleted.
  • Caller privacy requestsCallers can contact your business or email our privacy team.

The greeting includes both notices on each call, and they cannot be switched off. A caller knows the conversation is with a virtual assistant and is being recorded before describing their request. That disclosure is part of how we present your receptionist, including when you test it.

We process caller information on your business's behalf. We do not sell personal information or use callers' details for our own marketing. Recordings are deleted after your selected retention period; transcripts and summaries stay while your account is open and are deleted within 30 days after closure or on request. Read our privacy policy for call information for the collection and retention details.

Questions

What can an AI phone assistant do for my business?

It answers forwarded business calls, uses your information to answer service questions, and collects messages. You can also choose appointment booking into Google Calendar. During onboarding, you teach it your service area, hours, price policy, and the situations that should reach your on-call person.

Can I keep my current business phone number?

Yes. You keep the number your customers already use and forward calls to the local number we provide. Your forwarding guide covers your carrier or phone system. Choose all calls, or use coverage for unanswered, busy, or after-hours calls, then test that choice before going live.

Will callers know they are talking to AI?

Yes. The opening greeting says that your receptionist is a virtual assistant and that the call is recorded. Those notices stay on. You can hear the disclosure in the browser demo and check your business greeting during the test call before you activate forwarding.

Can it take messages instead of booking appointments?

Yes. Choose callback intake if you need to review a request before offering an appointment. Your receptionist asks the intake questions for your trade and collects the caller's details. You receive a call summary, urgency tag, transcript, and recording by email and app push notification.

What if the assistant gets a detail wrong?

Review the transcript or recording alongside the summary to check what the caller said. The AI can make mistakes, so keep a backup way to be reached. If your business information or instructions need changing, tell the AI in plain words through your dashboard settings.

Can I try the phone assistant before paying for a month?

You can talk to the browser demo without signing up; when trials open, you will have 14 days and up to 100 minutes free. A card is required before calls forward to your receptionist. We will send a reminder email two days before the trial ends.
